The short version. TradeFlow answers phone calls for trade businesses. We record the call and write down what the caller says so the business can turn up and do the job. Callers are told this at the start of every call. Recordings are deleted automatically after a year, and anyone can ask for theirs to be deleted sooner.

Who is responsible for your information

If you rang a trade business and spoke to their TradeFlow assistant, the trade business is the data controller — it is their customer record, and they decide what happens to it. TradeFlow is their data processor: we run the software and hold the data on their behalf, and we only act on their instructions.

In practice that means a deletion request is quickest if you ask the business you rang. If you cannot reach them, contact us and we will pass it on and make sure it happens.

What we collect when you call a TradeFlow business

  • Your phone number — so the business can ring you back.
  • Your name — so they know who is expecting them.
  • Your address and postcode — so the engineer can find the property.
  • What you said was wrong — so they arrive with the right parts. This is a written transcript of the call.
  • An audio recording of the call — so the business can check what was agreed. This can be switched off by the business.
  • Access details you give — a gate code, a key safe, a dog in the garden, whether someone vulnerable is in the house.

We do not ask for and do not want your date of birth, your bank or card details, or anything about your health beyond whether someone in the property needs particular care. The assistant is instructed to refuse card details if you start reading them out.

You are told it is an automated assistant

At the start of every call, before anything is asked of you, the assistant says that it is automated and that the call is being recorded. That is not optional and a business using TradeFlow cannot turn it off.

If you would rather not speak to a machine, or would rather not be recorded, say so. The assistant will put you through to a person or take a message so somebody rings you back.

How long it is kept

Call recordings and transcripts are automatically deleted after 365 days by default. A business can shorten this. Once the recording and transcript are gone, what remains is the length of the call and whether it turned into a job — which is no longer information about you.

Your contact details and job history stay for as long as you are a customer of that business, because they need them to honour warranties and come back out.

Who else sees it

We use a small number of suppliers to run the service. Each one only gets what it needs to do its part:

We do not sell your information, and we do not use call recordings to train AI models.

Where it is stored

TradeFlow runs in a London data centre and the database is hosted in the UK or the EU. Data is encrypted in transit and encrypted at rest. Some suppliers above process data outside the UK; where they do, that transfer relies on the UK International Data Transfer Addendum or an adequacy decision.

Your rights

Under UK GDPR you can ask, free of charge, to:

  • See what is held about you — we will send you a copy.
  • Have it corrected — if a detail is wrong.
  • Have it deleted — we will remove your details and wipe the recording and transcript.
  • Object to it being kept — and we will stop unless there is a legal reason not to.

Ask the business you rang, or email us and we will handle it. We will respond within one month. If you are not happy with how we deal with it, you can complain to the Information Commissioner’s Office at ico.org.uk.

Cookies

TradeFlow sets one cookie, and only after you sign in. It keeps you signed in and does nothing else. There is no advertising or tracking cookie, which is why you are not being asked to accept a banner.
