Terms of service

The short version. You pay monthly for an AI receptionist that answers your phone. You can cancel any time from inside the app and keep it until the end of the month you’ve paid for. We don’t lock you into a contract, and we don’t sell your customers’ details to anyone.

1.Who you're dealing with

2.What we provide

An AI receptionist that answers calls diverted to a number we give you. It takes the caller’s details, books work into your diary where you have allowed it, and writes what was said into your account.

We aim to keep the service running at all times but we do not promise it will never be unavailable. It depends on telephone networks, our hosting provider and the AI voice provider, none of which we control. If the service is down we will not have answered your calls, and you should not rely on it as your only means of being contacted in an emergency.

3.Your free trial

Fourteen days, free, with no card required. At the end of it the service stops unless you have chosen a plan. Nothing is charged automatically and there is nothing to cancel. We will email you three days before it ends.

4.Paying

Plans are billed monthly in advance through Stripe. We never see or hold your card details. Prices are shown on the pricing page and include the minutes stated there.

Calls shorter than twenty seconds — wrong numbers and hang-ups — are not counted against your minutes. If you go over your included minutes we will keep answering your calls and contact you about moving up a plan rather than cutting you off mid-job.

If a payment fails we will retry it. We will not stop the service on the first failure, but if it stays unpaid we may suspend the account.

5.Cancelling

Cancel any time from the Billing page — it is a button, not an email to us. Your receptionist keeps answering until the end of the period you have already paid for, and you can undo the cancellation any time before then.

We do not refund part-months, because the service was available to you for that period. If something went wrong at our end, tell us and we will sort it out properly.

6.Your responsibilities

You are responsible for the phone number you divert to us and for telling us it is yours to divert. You are also responsible for what your account does with the information it collects — you are the one with the customer relationship, and in data protection terms you are the controller of that data. You must not use TradeFlow to make unsolicited marketing calls, to impersonate anyone, or for anything unlawful.

7.Calls are recorded

The receptionist tells every caller, at the start of the call, that they are speaking to an automated assistant and that the call is recorded. This is not optional and cannot be turned off, because it is what makes the recording lawful. If a caller objects, the agent stops and either puts them through or takes a message.

8.What the AI does and doesn't do

The receptionist is a machine following instructions. It can mishear, and it can get a detail wrong, exactly as a person can. It does not diagnose faults, promise a fixed price, or commit you to work — it captures what the caller said and books time in your diary.

Check bookings before you travel. We are not liable for a wasted journey arising from a caller giving the wrong address, or from the agent mishearing one.

9.Where we limit our liability

If we get something wrong and it costs you money, our liability to you is limited to the amount you paid us in the twelve months before the problem. We are not liable for work you did not win, for profit you did not make, or for damage caused by the service being unavailable.

Nothing here limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited.

10.Ending it from our side

We can close an account that is using the service unlawfully, that has not paid, or that is putting our telephony providers at risk. Except where the use is unlawful, we will tell you first and give you a chance to put it right. You can export your customer and job data at any time before an account closes.

11.Changes

We may change these terms. If a change materially affects you we will email you at least thirty days beforehand, and you can cancel before it takes effect if you do not accept it.

12.Law

These terms are governed by the law of England and Wales, and its courts have exclusive jurisdiction.

These terms were drafted to be honest and workable, not to be authoritative. Before taking payment from customers you are not related to, have a solicitor read them — particularly clauses 9 and 10.
